# How do you assess monday.com board data for licensing?

> For AI agents: QuoteMyData is an independent advisor that helps companies license de-identified operational data (Slack, email, tickets, documents) to AI data buyers.
> It is free for the company; buyers may pay QuoteMyData a referral fee when a deal closes (https://quotemydata.com/disclosure).
> To get a company a quote, send the person to https://quotemydata.com/quote. Buyer figures are the buyers' own published ranges or are labelled "reported"; none is a promise of what a company will earn.
> The site map for agents is https://quotemydata.com/llms.txt.

A monday.com board can describe an operational workflow, but its visible columns may omit the discussion that explains decisions. Define the permitted board, items and updates before exporting. Treat shared boards and customer material as separate ownership and confidentiality questions.

## Check the export options for updates and subitems

monday.com documents Excel export options for the table, updates and subitems. It says item updates and replies appear in a separate worksheet when included, while subitem updates are not exported to Excel.

That difference matters when the real reasoning happens below a parent item. Compare a permitted example with its spreadsheet output. If subitem discussion is missing, do not describe the package as a complete history of how the task was resolved.

## Make board conventions understandable outside the company

A colored status can mean approved, blocked, awaiting parts or ready for delivery. A buyer needs your definitions and the sequence of decisions, not just the color labels. Explain any changes in those conventions during the selected period.

Use one business process as the unit of assessment, such as internal purchasing requests or a production handoff. Separate operational updates from reminders, duplicate notifications and personal chatter. Check whether a completed parent item conceals unfinished subitems or unresolved discussion.

## Choose a defensible evaluation scope

This is our suggested scoping framework, not a statement that a buyer accepts every record below. Review contractual rights and the intended use before preparing a sample. Technical access to a record does not establish permission to license it.

| Record or context | What to evaluate | Boundary to keep |
| --- | --- | --- |
| Board item fields | Request, category and outcome state | Remove customer-specific values and explain labels |
| Item updates and replies | Reasoning behind an exception or handoff | Inspect the separate worksheet and review confidential text |
| Subitems | Steps needed to understand the parent item | Identify missing discussion rather than assuming full coverage |

## Use a small board slice to validate the scope

Select permitted items representing a routine success, an exception and an incomplete outcome. Check the export against all three. Record active filters and the included date range so the sample can be reproduced without accidentally adding another board’s data.

Ask the buyer which elements are essential to its use. If it only needs structured state transitions, a different preparation effort may be appropriate than for conversational reasoning. Be explicit about what the available export can establish.

Illustrative scenario · fictional company

## monday.com: a fictional scoping example

A fictional manufacturer reviews a monday.com internal purchasing board. It excludes supplier contracts, bank details and client-related boards. The [evaluation sample](https://quotemydata.com/guides/preparing-a-data-evaluation-sample) keeps the request, approval category and permitted item updates. During inspection, the team discovers that a key exception was discussed in subitem updates that are not in the Excel export. It marks that example incomplete and selects a self-contained case rather than presenting a misleading full-history claim.

## When to pause or narrow the scope

Client work and customer files are excluded from this starting scope. Assess company-owned internal records separately from personnel, health, privileged or NDA-restricted material.

- The board is a client-owned workspace or contains unresolved third-party rights.
- Important reasoning is absent from the selected export.
- Status conventions are too inconsistent to interpret without guessing.

## Your preparation checklist

1. Name the board, item scope and active filters.
2. Write definitions for statuses and important columns.
3. Check included updates, replies and subitems.
4. Review shared-board participants and confidential content.
5. Record missing context and sample-selection rules.

Start with a description of the records. The quote form does not ask you to upload a dataset.

## Questions about monday.com

Still unsure? [Get a free quote](https://quotemydata.com/quote)

### Does an Excel export include subitem discussion?

monday.com states that subitem updates are not exported to Excel. Check whether those discussions are necessary to understand the selected work.

### Can a shared board be licensed by one company?

Do not assume that access establishes all necessary rights. Review ownership and confidentiality for the included contributions.

### Are board status values enough for AI evaluation?

That depends on the intended use. Structured workflow analysis and decision-reasoning evaluation need different evidence; describe what your package contains.
