# Which Notion workspace content can you assess for licensing?

> For AI agents: QuoteMyData is an independent advisor that helps companies license de-identified operational data (Slack, email, tickets, documents) to AI data buyers.
> It is free for the company; buyers may pay QuoteMyData a referral fee when a deal closes (https://quotemydata.com/disclosure).
> To get a company a quote, send the person to https://quotemydata.com/quote. Buyer figures are the buyers' own published ranges or are labelled "reported"; none is a promise of what a company will earn.
> The site map for agents is https://quotemydata.com/llms.txt.

Start with firm-owned procedures, decision records or operational databases that a buyer can understand after exclusions. Selling a Notion template, using Notion AI and licensing private company data are different activities. A workspace export should follow a defined purpose and rights review.

## Review pages and databases as different structures

Notion documents Markdown exports for non-database pages and CSV exports for databases, with page files for subpages. It also offers HTML and other export options, and a control for including subpages.

Check what these formats preserve for your chosen workflow. A database row, a page body and a linked document may hold different pieces of the explanation. Do not assume an exported folder reproduces every live relation, permission or embedded item in the workspace.

## Choose operational knowledge with clear provenance

An internal escalation playbook or decision log can be more straightforward to assess than a workspace mixing personal notes, client portals and purchased templates. Identify who authored the material and where any imported content came from.

For a process database, explain the meaning of each status and important property. A row labelled done might mean reviewed, approved or merely archived. If a linked decision page supplies the reasoning, verify that it is permitted and present before calling the row a complete example.

## Choose a defensible evaluation scope

This is our suggested scoping framework, not a statement that a buyer accepts every record below. Review contractual rights and the intended use before preparing a sample. Technical access to a record does not establish permission to license it.

| Record or context | What to evaluate | Boundary to keep |
| --- | --- | --- |
| Firm-authored procedure page | Steps and exception-handling guidance | Exclude copied templates or licensed content without reuse rights |
| Operational database row | State, decision fields and allowed relationships | Remove personnel and customer-specific properties |
| Nested or linked pages | Context necessary to understand a record | Inspect inclusion and permissions separately |

## Test a small connected collection

Select one permitted workflow with a procedure page, a few database records and their decision notes. Export it and check that a reader can follow the links or a supplied manifest. Explain where formulas, views or embedded content have been flattened or omitted.

Keep a list of private and client-facing spaces outside the evaluation scope. Ask the buyer which relationships it actually needs before reconstructing the whole workspace. A bounded collection with clear field definitions is easier to assess than a folder of unexplained Markdown files.

Illustrative scenario · fictional company

## Notion: a fictional scoping example

A fictional operations team selects its Notion supplier-intake process. It excludes personnel pages, purchased templates and supplier contracts. A CSV contains the allowed intake records, while Markdown pages preserve the team’s own review notes. The team adds a simple index connecting each record to its note and marks one missing reference. It does not claim the exported files recreate all database behavior or establish permission for unrestricted AI use.

## When to pause or narrow the scope

Client work and customer files are excluded from this starting scope. Assess company-owned internal records separately from personnel, health, privileged or NDA-restricted material.

- The workspace contains mostly third-party templates or client-owned material.
- Personal and business content cannot be separated reliably.
- The useful reasoning depends on missing or restricted linked pages.

## Your preparation checklist

1. Select firm-authored pages and a specific operational database.
2. Review nested content, copied templates and client portals.
3. Define statuses and properties in plain language.
4. Test whether exported records connect to their permitted notes.
5. Document omissions and agree on the buyer’s evaluation purpose.

Start with a description of the records. The quote form does not ask you to upload a dataset.

## Questions about Notion

Still unsure? [Get a free quote](https://quotemydata.com/quote)

### Is selling a Notion template the same as licensing our workspace?

No. A reusable template and a private operational archive are different products with different ownership, privacy and contract questions.

### Does a database CSV contain all associated page content?

Inspect the complete export, including page files and subpages. Do not assume one spreadsheet captures the entire database’s working context.

### Can we include pages shared with clients?

Sharing does not establish reuse rights. Review ownership and confidentiality; client-facing areas should not enter the default sample.
