How do you prepare Freshdesk history for a licensing review?
Verify historical coverage and conversation content before describing your Freshdesk archive to a buyer. A default ticket listing can be a small recent slice, while a meaningful operational sample needs the relevant replies and outcomes. Rights and customer confidentiality remain separate from export availability.
Check defaults before counting the archive
Freshdesk’s API documentation says the default ticket list returns recent tickets and documents an updated_since filter for older records. It also exposes ticket conversations separately and notes that some details are not included in a ticket response by default.
Have the administrator test the planned collection against known older tickets. Record which filters, date boundaries and conversation fields were used. A successful request is not proof that the sample covers the full period you intended, so reconcile a small set before discussing volume with a buyer.

Look for reasoning across replies and handoffs
For each chosen problem type, check whether the records show the original question, diagnostic work, any escalation and the resolution or unresolved state. A final “fixed” note has little explanatory value if the relevant troubleshooting steps are missing.
Separate actual customer dialogue from internal notes, automated acknowledgments and merged duplicates. Keep the sequence intact within the permitted scope. If a merge combines a restricted customer thread with an otherwise eligible record, review the combined content rather than relying on the original ticket label.
Choose a defensible evaluation scope
This is our suggested scoping framework, not a statement that a buyer accepts every record below. Review contractual rights and the intended use before preparing a sample. Technical access to a record does not establish permission to license it.
| Record or context | What to evaluate | Boundary to keep |
|---|---|---|
| Ticket fields | Category and status coverage over time | Confirm date filters and excluded accounts |
| Conversation replies | Troubleshooting and decisions | Review quoted messages and attachments for confidential material |
| Merged or reopened tickets | Whether the outcome belongs to this problem | Label mixed histories and unresolved episodes clearly |
Use a representative sample to expose extraction gaps
Select permitted cases from more than one period and include both straightforward resolutions and escalations. Compare the source conversation with the exported record. Note missing replies, attachment-only explanations and status changes that cannot be reconstructed.
Ask the buyer to assess the defined subset before expanding collection. If it needs information your customer commitments do not allow you to share, adjust the proposed dataset or stop that use. Export engineering should follow a viable scope.
Illustrative scenario · fictional company
Freshdesk: a fictional scoping example
A fictional equipment supplier considers its Freshdesk troubleshooting archive. A first API check returns only recent tickets, so it does not describe that result as the entire history. After validating the historical filter and permitted conversation content, the team samples several service categories. It excludes customer photos and warranty documents, marks cases whose answer depends on those files, and keeps internal repair reasoning only where reuse rights are established.
When to pause or narrow the scope
Client work and customer files are excluded from this starting scope. Assess company-owned internal records separately from personnel, health, privileged or NDA-restricted material.
- Historical coverage cannot be established.
- The remaining conversation depends on removed customer files.
- Customer contracts or product-safety confidentiality obligations bar the proposed use.
Your preparation checklist
- Define dates, ticket categories and allowed accounts.
- Test known historical tickets rather than only recent records.
- Inspect replies and notes independently of ticket fields.
- Document merges, reopens and missing outcomes.
- Provide the buyer with a scoped sample and its limitations.
Start with a description of the records. The quote form does not ask you to upload a dataset.
