Can a contractor license its Procore operational records?
A contractor can assess firm-owned process records only after confirming rights to the specific project material and intended use. Procore access does not mean the contractor owns every RFI, drawing or response. Start with a narrow decision workflow and keep owner, designer and subcontractor content separately classified.
A list of RFIs is different from the responses
Procore documents RFI exports to CSV or PDF, including PDF options for all responses or official responses. It also states that active search results, filters and sorting affect the export.
Check which representation your evaluation needs. A register can inventory issues, but an RFI question and its response may be required to explain a decision. Compare one allowed source RFI with the selected output, and review any supporting drawings or specifications separately.

Separate coordination from design ownership
An internal escalation or routing decision may belong to the contractor’s process, while the design detail that prompted it belongs to another party. Trace those components instead of treating a project folder as one dataset. Do not reproduce restricted drawings merely to make an example easier to understand.
Focus the assessment on what the records actually establish: a question, a clarification, a coordination decision or a change. An official response does not by itself prove that work was installed as directed. Keep completion and verification evidence distinct.
Choose a defensible evaluation scope
This is our suggested scoping framework, not a statement that a buyer accepts every record below. Review contractual rights and the intended use before preparing a sample. Technical access to a record does not establish permission to license it.
| Record or context | What to evaluate | Boundary to keep |
|---|---|---|
| RFI register | Categories, dates and scope inventory | Do not infer full response content from a list |
| Question and response | A permitted clarification or decision sequence | Review contributions and project-contract restrictions |
| Drawing, specification or attachment | Whether it is essential context | Exclude unless ownership and reuse rights are explicitly resolved |
Use a project-rights map before a technical export
List the parties contributing to the selected workflow and the agreements that govern reuse. Record exclusions at both project and artifact level. One approved internal record should not become permission to export every attachment on the project.
Ask the buyer whether internal coordination without design documents meets its purpose. If the answer is no and those documents cannot be licensed, the scope is not viable. Describe the limitation directly rather than providing an incomplete example as if it were self-contained.
Illustrative scenario · fictional company
Procore: a fictional scoping example
A fictional general contractor assesses internal RFI-routing decisions from a completed project. It excludes owner drawings, designer specifications and subcontractor attachments. The selected sample retains only permitted internal coordination and a documented outcome. A register export is used to inventory candidates, while each chosen item is checked for missing response context. Cases requiring excluded design documents are not presented as complete technical reasoning examples.
When to pause or narrow the scope
Client work and customer files are excluded from this starting scope. Assess company-owned internal records separately from personnel, health, privileged or NDA-restricted material.
- Project contracts do not permit the proposed reuse.
- Most meaningful content belongs to owners, designers or subcontractors.
- Removing drawings or specifications makes the record impossible to interpret.
Your preparation checklist
- Map project parties and rights before choosing files.
- Distinguish the RFI register from response content.
- Record active export filters and selected response options.
- Review each required attachment separately.
- Label coordination outcomes separately from verified construction outcomes.
Start with a description of the records. The quote form does not ask you to upload a dataset.
